Gardeners Hadley Wood is committed to providing professional gardening services in a manner that protects the health, safety and welfare of our team members, clients, visitors and the wider public. This Health and Safety Policy sets out our approach to managing risks associated with gardening, grounds maintenance and related activities in our service area.
Policy Objectives
Our objectives are to prevent injury, ill health and damage to property by identifying hazards, assessing risks and implementing sensible control measures. We aim to foster a positive safety culture where all staff understand their responsibilities and work proactively to maintain safe standards on every job.
This policy applies to all employees, labour-only subcontractors, and any other persons working under the direction of Gardeners Hadley Wood, regardless of location or size of project.
Management Responsibilities
Management is responsible for ensuring that effective health and safety arrangements are in place and are reviewed regularly. This includes allocating sufficient resources for training, equipment, supervision and planning so that work can be carried out safely and in accordance with relevant legislation and industry best practice.
Managers will ensure that risk assessments are completed for typical gardening activities and for any non-routine or higher-risk tasks. Control measures arising from these assessments will be communicated clearly and monitored in practice.
Employee Responsibilities
Every employee has a duty to take reasonable care of their own health and safety and that of others who may be affected by their work. Staff must follow instructions, use equipment correctly, wear appropriate personal protective equipment and report any hazards, near misses, accidents or unsafe conditions without delay.
Employees are expected to cooperate fully with this policy, to attend relevant training and to refrain from any behaviour that could compromise safety, such as misuse of machinery, ignoring procedures or working under the influence of alcohol or drugs.
Risk Assessment and Safe Systems of Work
Before starting work, hazards associated with the site and the tasks will be identified, and appropriate control measures implemented. Typical risks in gardening work include slips, trips and falls, manual handling injuries, cuts and lacerations, noise, flying debris, contact with hazardous substances, and interaction with members of the public.
Site-specific risks, such as uneven ground, poor access, nearby roads, overhead cables or confined spaces, will be considered and addressed. Where necessary, work will be planned to avoid high-risk methods or to introduce additional safeguards.
Training and Competence
Gardeners Hadley Wood will ensure that staff are competent to perform their duties through a combination of appropriate experience, supervision, and formal or informal training. Training will cover the safe use of tools and machinery, manual handling techniques, personal protective equipment, emergency procedures and any other relevant topics.
Specialist equipment, such as powered tools, hedge trimmers, chainsaws or lawn machinery, will only be operated by individuals who have been trained and deemed competent for that equipment. Refresher training will be provided where needed.
Tools, Machinery and Equipment
All tools and machinery will be selected, used and maintained with safety as a priority. Equipment will be inspected regularly, and any defective items will be removed from service until repaired or replaced. Guards and safety devices must not be removed or overridden.
Only suitable equipment will be used for working at height, and makeshift arrangements will not be permitted. Fuel, oils and other consumables will be stored and handled safely to minimise fire and environmental risks.
Personal Protective Equipment
Personal protective equipment, such as safety footwear, gloves, eye and ear protection, high-visibility clothing and respiratory protection, will be provided as appropriate for the tasks undertaken. Employees are required to wear PPE as instructed and to keep it in good condition, reporting any damage or loss promptly.
PPE is considered a last line of defence and will be used alongside other control measures, not as a replacement for safe systems of work.
Chemicals and Hazardous Substances
Where gardening activities involve fertilisers, weed killers or other chemicals, these will be assessed and managed under recognised control principles. Only approved products will be used, and they will be applied strictly in accordance with manufacturer instructions and relevant safety data.
Storage and transport of such materials will be controlled to prevent leaks, spills and unauthorised access, and appropriate PPE will be worn during use and handling.
Public, Client and Property Safety
When working on client premises or in areas accessible to the public, measures will be taken to protect others from harm. This may include setting up exclusion zones, using barriers or signs, scheduling work to avoid busy times and controlling noise, dust and debris.
Care will be taken to avoid damage to buildings, vehicles, utilities, plants and other property. Any incidents or damage will be reported to the client and recorded internally.
Vehicles, Access and Traffic Management
Company vehicles will be driven and operated safely, with attention to loading, securing of tools and materials, and safe parking in residential or commercial areas. Drivers must hold the appropriate licence and obey all road traffic regulations.
When loading or unloading, particular care will be taken to protect pedestrians and other road users. Access routes on site will be kept as clear as reasonably practicable to prevent slips, trips and collisions.
Accidents, Incidents and First Aid
All accidents, near misses and dangerous occurrences must be reported promptly so that they can be recorded, investigated and used to improve safety measures. Corrective actions will be implemented where lessons can be learned.
Suitable first aid provisions will be available during work activities. Staff will know how to summon assistance in an emergency and how to contact the relevant emergency services if required.
Health, Welfare and Environmental Considerations
Gardeners Hadley Wood recognises the importance of welfare facilities, adequate rest breaks, hydration and protection from adverse weather conditions such as heat, cold and heavy rain. Work will be planned to take account of these environmental factors where possible.
We will also seek to minimise any negative impact on the local environment by managing waste responsibly, avoiding unnecessary disturbance to wildlife and following good practice in grounds maintenance.
Monitoring, Review and Continuous Improvement
This Health and Safety Policy will be monitored and reviewed periodically, and whenever there are significant changes in legislation, work activities or organisational structure. Feedback from employees and clients will be taken into account when updating procedures.
